How to prepare your documents in order to upload them to your account.

Understanding the process of uploading your documents

You can upload your documents directly into your physicansapply.ca account for examination applications, source verification requests and other services. Your physiciansapply.ca account will guide you through the process of uploading your files based on the type of request or application you are submitting. The information below is helpful to ensure you have your documents ready for upload when required.

Guidelines on preparing your documents

Your documents must be in PDF or JPG format. When scanning or taking a picture of your documents, follow these guidelines:

  • Remove documents from any frames or holders to reduce glare or possible obstruction of important information.
  • We recommend using a high-quality scanner to create PDF files.
  • If you are taking a photo of your document, place it on a flat surface in a well-lit area and adjust your position to have the document completely within the camera’s frame.
  • Ensure the image is clear (not blurry), complete (not cut off), straight and not obscured.
  • Ensure all text, dates, signatures, seals, stamps and borders that appear on the document are included and legible.
  • If you have a document with multiple pages, ensure the pages are in the correct order and combine all the pages into one file.
  • If you are submitting a translation, do not alter the translation PDF document you received from the translation provider; upload the file exactly as it was sent to you.

Any images that are blurry, cut off, or illegible will not be accepted.

Technical specifications

  • No formats other than JPG or PDF can be uploaded.
  • Your signature and photograph must be in JPG format only. See the acceptable identity documents page for more information.
  • Files must be less than 10 MB in size.
  • Only upload one file (JPG or PDF) per document. If you have documents with multiple pages, include all pages in one file.
  • Documents with password protection cannot be uploaded.

Common questions about uploading your documents

Yes, documents can be uploaded from your phone. However, it is better to use a laptop or desktop computer with the most recent version of Google Chrome, Microsoft Edge (Windows) or Safari (MacOS).

You will be able to choose multiple PDF files if your document is not electronically saved as one complete PDF file. Similarly, you can choose multiple JPG files and upload them to make one completed file. To select multiple files when uploading, hold down the Ctrl key (or Cmd key for MacOS) and select each file to be uploaded. The files will be uploaded in alphabetical order by file name. Each upload must only include one file type (JPG or PDF); you cannot upload a PDF file and a JPG file together for one document.

You will not be able to make any changes to the uploaded files if they have been finalized and submitted.
If you have not yet submitted your uploaded files, you will be able to reupload them as many times as you want. Each time you upload, the previous file is replaced with the new one.

No, sending the same documents by mail or email will cause delays in processing your request. The upload feature is the fastest and most secure way to provide your documents to the MCC.
