Your repository of medical credentials

The Medical Council of Canada (MCC) Physician Credentials Repository is a secure online confidential database where you can permanently store and easily share your international medical credentials with Canadian medical regulatory authorities and other organizations registered with the MCC. From your physiciansapply.ca account, any international medical credential you submit for source verification will be automatically added to your portfolio in the repository.

There are two ways that you can give an organization access to your documents from the repository:

  1. You can share documents from physiciansapply.ca with organizations that are registered with the MCC. There is no fee for sharing documents with organizations registered with the MCC.

  2. You can use the File Transfer Service to transfer documents to organizations that are not registered with the MCC. There is a service fee for this option.

The instructions for both options are included below.

How to share your documents and credentials

Securely share your credentials and documents that are in the repository with organizations registered with the MCC from your physiciansapply.ca account. Simply:

  1. Login to your physiciansapply.ca account.
  2. Click on Share next to Documents on the left panel.
  3. Click the button next to the organization(s) you would like to share with.
  4. Click the appropriate documents checkboxes.
  5. Click the Consent to share information checkbox.
  6. Click on Save and return to home page or Save and return to list button.

After sharing your documents

You can see the documents that are currently shared in your physiciansapply.ca account by clicking on Share and selecting the organization. The documents that you are currently sharing will be checked in the displaying window under Document sharing.

Credentials can also be unshared at any time from your account.

Transfer files to organizations that are not registered with the MCC

If an organization is not registered with the MCC, you can still give them access to documents in the repository through the File Transfer Service.

What can be transferred using this service

The MCC offers this file transfer service for:

  • Source-verified medical credentials
  • Educational Credential Assessment report
  • Individual examination results, including the Statement of Results and the Supplemental Information Report. Those documents cannot be altered and can only be transferred in the language in which they have been issued in your account.
  • The Registration and examination summary: this document is only available in the File Transfer Service and can only be transferred when a candidate has been awarded the Licentiate of the Medical Council of Canada (LMCC) and/or has at least one examination with a pass result available on their account. This summary includes:
    • Your name and date of birth
    • Your LMCC registration date and number (if registered)
    • A summary of all MCC exams with a pass result, including the exam session dates (if available). It can include information for the Medical Council of Canada Qualifying Examination (MCCQE) Part I, the MCCQE Part II taken prior to 2020, the National Assessment Collaboration (NAC) Examination, Medical Council of Canada Evaluating Examination (MCCEE) taken prior to 2019, and for the MCCQE taken prior to 1992.

How to transfer and access documents using this service

Both the organization that will need to access the document(s) and the individual that is transferring the document(s) will need to complete steps to securely transfer documents from the repository.

The organization that will need to access the documents must create a File Access account by going to the File Access Service portal, click Create new account, and follow the instructions as prompted. There is no fee to set up this account. If the organization already has a File Access account, they can move on to step 2.

The organization then must provide the individual who will transfer the document(s) with the exact email entered when the account was created.

Once the organization has provided the email address used to create the account, the candidate can log in to their physiciansapply.ca account.

The candidate will:

  • Click Other service requests in the left panel
  • Click Request a file transfer in the centre panel and follow the instructions provided.

The candidate must then proceed with payment to complete the file transfer request. A fee per document will apply. If more than 4 documents are being transferred to the same third party in a single transaction, the candidate will only be charged for 4 documents.

The candidate will receive a confirmation message of the file transfer request in their account.

The organization will receive an email when the files are transferred and must access the files within 30 days. After 30 days the request will expire.

The organization can access the documents by going to their File Access Service account and clicking on View next to Access files in the left panel.

The organization can click the eye icon to expand the list of documents that are currently transferred.

The candidate will receive a confirmation message when the files have been accessed.
